How it works
From idea to completed work, all in one workspace
VirtualExec helps you take a business objective, break it into an actionable plan, and create the work needed to move it forward.
You do not need to know which AI tool to use, write complicated prompts, or start from a blank page. Just tell VirtualExec what you are trying to accomplish.
Three simple steps
In that order, every time. Nothing moves forward without your approval.
-
Tell VirtualExec what you need
Start with the outcome. Describe it in your own words, the way you would explain it to an experienced member of your team, and VirtualExec asks the follow-up questions it needs about your goals, priorities, deadlines and business context. Knowing how to structure the work is its job, not yours.
- Help me launch a new service.
- Create a marketing plan for next quarter.
- I need to onboard a new client.
- Turn this idea into a project plan.
- Help me organise everything I need to do this month.
-
Review and approve the plan
Once it understands the objective it comes back with a structured project. You review it, change it, reorder the priorities or add instructions before anything begins. Nothing moves forward without your approval.
- A clear objective
- Organised tasks and priorities
- Suggested deadlines
- The documents and deliverables it will need
- Anything still to be confirmed
-
Get the work done
This is where VirtualExec goes past a chatbot. Rather than handing you an answer, it produces the actual work the project needs, and everything it writes stays attached to the task it belongs to.
- Marketing plans
- Business proposals
- Emails and outreach campaigns
- Website content
- Social media content
- Creative briefs
- Content calendars
- Checklists and workflows
- Reports and status updates
- Spreadsheets and trackers
- Images and visual assets
One workspace for your business
Your business context, your projects and everything written against them, in one place instead of scattered across chats, inboxes and folders.
Your business profile
VirtualExec starts by learning your business: what you sell, who you sell it to, your brand and your goals. It can be drafted for you by reading your website, so you edit a first draft instead of facing an empty form. Everything written afterwards is written against it, which is why you never explain yourself twice.
Projects
Every initiative gets its own space: a marketing campaign, a client, a new service launch, a website build, planning for the quarter, an internal process. Each one keeps its conversations, tasks, documents and progress together.
Tasks
Larger objectives broken into work you can actually do. A task carries instructions, a deadline, a priority and notes, and it is the place the deliverable itself gets made -- not just a checkbox to tick.
Documents
The work your business actually uses, written from your business context and the project it belongs to. Edit it, revise it, keep the versions, download it. No more digging through disconnected chats for something you wrote three weeks ago.
Images
When a project needs visuals they are made alongside the writing -- the concept, the image itself and the alt text in one pass -- and they stay with the project they were made for.
Your assistant understands the context
Stop starting over every time
Traditional AI conversations feel disconnected. You explain your business. You explain your project. You explain what happened last time. Then you do it all again tomorrow.
VirtualExec is built around context. Your business information, projects, tasks and previous work stay organised, so the assistant already understands what you are working on. Less time explaining, more time moving the work forward.
Built for real business work
Ask for an outcome, not just a prompt
Instead of asking
Write me an email.
You can ask
Help me reconnect with former clients who have not worked with us this year.
VirtualExec helps you think through the larger objective, organise the work involved, and create the materials needed to execute it.
A chatbot gives you an answer. VirtualExec produces the work behind the answer.

Keep your business moving forward
See what needs your attention
Your workspace brings projects, tasks, deadlines and priorities together, so you can see at a glance:
- What is in progress
- What is coming up
- What needs attention
- What is behind schedule
- What to do first, and why it is that one
Instead of rebuilding your own picture of everything happening across the business every Monday, VirtualExec keeps it organised for you.
Built for teams too
Work from the same context
Invite your team into the workspace and keep everyone connected to the same projects, tasks and information. Depending on your plan, team members can work across shared workspaces without hunting through emails, messages and disconnected documents for an update.
Less asking "where are we on this?". More actually moving the work forward.
AI when it makes sense. Humans when they matter.
Technology should know its limits
VirtualExec automates planning, organisation, writing and business workflows. Some situations need human judgement: negotiations, relationships, sensitive conversations, decisions with real consequences.
So VirtualExec does not pretend AI can replace every part of running a business. When a task genuinely needs a person, you can say so and, on eligible plans, request human support.
What you stay in control of
VirtualExec is built to assist your business, not to take it over. What stays yours:
- Your projects
- Your priorities
- Your approvals
- Your documents
- Your decisions
VirtualExec makes recommendations, creates plans and generates work. You decide what moves forward.
And where the line is
- It does not invent factsWhere a document needs a number, a date or a name it was never given, it writes TO CONFIRM and the question instead of making something up, and lists those questions for you afterwards.
- Nothing is created without your say-soPlans are proposed, not imposed. Projects and tasks appear in your workspace only after you approve them.
- Your work stays yoursProjects, documents and history live in your own workspace, and downloads are ordinary Word, Excel and Markdown files. Cancel and they stay where they are.
Every kind of document it produces
Any task can produce a real document. Every version is kept, so regenerating never loses a draft you liked, and everything downloads in a format the rest of your business already opens.
- Creative brief Audience, objective, message, mandatories and success measures: the document a freelancer or agency can start from without a meeting.
- Copy Ads, landing pages, product descriptions and social posts, in your voice and against your offer.
- Emails Outreach, follow-ups, announcements and sequences, written to a specific reader rather than to "customers".
- Content calendar Dated, with the theme and the format for each slot, so the plan survives contact with a real week.
- Proposals Scope, approach, timeline and terms in the shape a client expects to receive.
- Outlines and checklists The structure before the writing, and the run-list before the launch.
- Status reports What moved, what is late, what needs a decision, written from the project rather than from memory.
- Spreadsheets and trackers Budgets, pipelines and schedules built as a real workbook, with tabs, typed columns and dropdowns, that opens in Excel or Google Sheets.
What this looks like in practice
Four ordinary requests, and what lands in the workspace afterwards.
Agency owner: "Onboard the new client and get the first month planned."
A project with a kickoff checklist, a dated content calendar, a welcome email to the client, and a one-page scope you can send the same afternoon.
Marketing manager: "We are launching the new service in six weeks."
A launch plan with owners and dates, a creative brief for the design work, landing-page copy, three announcement emails, and a tracker for the whole run.
Consultant: "Turn this discovery call into a proposal."
The questions you did not ask on the call, then a proposal with scope, approach, timeline and terms, with TO CONFIRM wherever a number is still yours to set.
Small team: "Where are we on everything?"
A briefing across every project, what is late and why, the one thing to do first, and a status report ready to paste into the client thread.
Getting the most out of it
The difference between a tool you try once and one you run your week on is mostly habit. These are the ones that pay off.
-
Ask for the outcome, not the task
"Win back the twelve clients who went quiet this year" gets you a plan. "Write an email" gets you an email. Start one level up and let it break the work down.
-
Answer the follow-up questions properly
They are the whole trick. Two minutes there is the difference between a generic plan and one that fits your business, and the answers are kept, so you pay that cost once.
-
Keep your business profile honest
Everything is written against it. When your offer, pricing or audience changes, change it there and every document afterwards follows.
-
Read the TO CONFIRM lines first
They mark exactly where a document needed a fact it was never given. Filling those in beats re-reading the whole thing looking for what is wrong.
-
Revise rather than restart
Say what is off, whether too long, wrong audience or not concrete enough, and regenerate. Versions are kept, so a worse draft is never a lost one.
-
One project per client or campaign
Context stays clean, cross-project priorities become meaningful, and a status report writes itself when the client asks.
-
Start the week on the briefing
Two minutes with the briefing and the priority list beats an hour rebuilding your own picture of where everything stands.
-
Hand over what genuinely needs a person
Negotiations, relationships and judgement calls are not a failure of the tool. Send those to a human and keep the assistant on the work it does well.
Frequently asked questions
Do I need an AI account or an API key?
No. VirtualExec is a complete platform -- there is no separate AI account to open and no technical setup to do. It is included in your plan.
How long does it take to get started?
You can have your first project in minutes: describe what you are trying to accomplish, answer a few questions about the work, and the plan comes back in the same sitting.
Can I edit what it creates?
Yes -- by hand, or by asking for a revision. Every version is kept as the work develops, so a draft you liked is never overwritten for good.
Can I use it for more than one thing at a time?
Yes. Projects keep separate initiatives, clients, campaigns and activities apart, while your business profile stays shared across all of them.
What happens if I reach my plan limits?
You are told before the work runs, not after, and you can change plan from your own billing page. Nothing already in your workspace is taken away.
Can my team use it with me?
Yes, on plans that include seats. Invite them into the workspace as admins or members and they see the same projects and the same context.
Can I cancel?
Any time, from your account billing settings. Your projects and documents stay where they are.
Start with something already on your to-do list
You do not need a practice project. Describe the objective, answer a few questions, review the plan, then let VirtualExec turn it into real work.
